Time Tracking & Billing

Invoice

A document sent to a client listing services rendered and the amount owed.

An invoice is a formal billing document sent by a service provider to a client. It itemises work performed, the agreed rate, hours or units, and the total amount due. For time-based billing, invoices are generated from time tracking records.

A proper freelance invoice includes: your name and contact information, the client's name and address, an invoice number (for your records), the invoice date and payment due date, a line-item breakdown of hours and rates per project or task, subtotal, any applicable taxes, and total due.

The line-item breakdown is the most important part for clients who review invoices carefully. Vague descriptions like '40 hours — development' invite questions. Specific entries like '12h — API integration, 8h — code review, 20h — client portal UI' are easier to approve.

Invoices are typically sent at the end of a billing period (weekly, biweekly, or monthly) or at project milestones. Net 30 (payment due 30 days from invoice date) is common, though many freelancers now negotiate Net 14 or Net 15 for faster payment.

In ClockMe

ClockMe generates invoice PDFs from your time entries. Select a project and date range, and ClockMe produces a line-itemised invoice with entries, hours, rate, and total. The billing rate used is the rate that was set at the time each entry was created — not your current rate — so invoices for past work are always accurate.

Frequently asked questions

What should I include on a freelance invoice?

Include: your name and business details, client name and address, invoice number, invoice date, payment due date, line-item breakdown of work (description, hours, rate, amount per line), subtotal, any taxes, and total due. Bank details or payment link at the bottom.

How do I generate an invoice from my time tracking data?

In ClockMe, go to Projects, select a project, and use the invoice generator to pick a date range. ClockMe pulls all time entries for that period and generates a PDF invoice with line items, rates, and totals.

Does ClockMe support different currencies?

ClockMe displays amounts based on the hourly rate you set per project. Currency formatting is based on your locale. The invoice PDF shows the rate and totals in whatever currency your rate is denominated in.
